- Managing facilities operations such as purchasing supplies and arranging for maintenance services.
- Planning, scheduling, and monitoring the execution of facilities civil work project / activities.
- Overseeing the operational, day-to-day facilities servicing activities, which can include (Security, Housekeeping & Hospitality – Motel Management and facility administration, Utilities Maintenance, Landscapes & Gardening).
- Overseeing the installation, monitoring and maintenance of facilities system, which may include
(Access Control System, HVAC System(s), Security Systems).
- Managing the allocation, delivery and return of company vehicles including:
- Overseeing the company vehicles periodic maintenance and ensure that all corporate vehicles are properly maintained and serviced.
- Overseeing the timely execution of all vehicles administrative / governmental transactions and
paperwork (i.e., registration, licensing, insurance…).
- Negotiate and manage corporate insurance policies.
- Handling the planning, ordering and inventory management of all administrative purchasing
items (e.g. cleaning material and equipment, stationary…).
- Overseeing the operational / day-to-day mail activities (both internally and externally).
- Coordinating with outside vendors to provide legal services or accounting services to the organization within budget.
- Participating in the tendering preparations, evaluation, and selection process.
- Building and maintain good relationship with vendors/ suppliers.
- Monitoring and evaluating the performance of the provided services reporting it on both an internal and external level.
- Reviewing and processing of invoices and respective payment follow-up.
- Setting Up a new role inward and Outward Mail.
- Managing employee benefits programs such as retirement planning or insurance policies.
- Overseeing employee training programs designed to improve employee skills or knowledge in specific areas.
- Maintain an inventory of all corporate assets, including but not limited to furniture, equipment, and supplies.
- Develop and implement policies and procedures related to corporate services.
- Monitoring compliance with applicable laws and regulations regarding human resources issues.
- Manage the corporate services team, providing guidance, support, and direction as needed.
- Managing the whole cycle of internal communication among the company. Documentation and Archiving.
- Maintaining employee records, such as payroll data or attendance records.
- oversee the development and implementation of corporate security protocols.
- Serve as the liaison between the company and building management.
- Handle all aspects of corporate travel planning.
- Coordinate corporate events, including but not limited to company parties, holiday celebrations, and client appreciation events.
